Prospecting Time-Block Calculator

The exact formula chain — from pipeline target down to daily prospecting hours — so a rep or manager can calculate precisely how many hours a day of prospecting are required to hit the number, using their own connect and conversion rates.

What's inside

  • The 6-step formula chain from pipeline dollars to daily hours
  • Definitions for every rate used in the formula
  • Fully worked numeric example
  • Blank fill-in-your-numbers version
  • Spreadsheet-ready formula row to paste into Excel/Sheets
  • Weekly time-block schedule template
  • Conservative placeholder rates for reps without historical data yet

Rate definitions

  • Meeting-to-opportunity rate: % of booked meetings that become a qualified pipeline opportunity.
  • Meeting-set rate: % of live conversations that result in a booked meeting.
  • Connect rate: % of dials that result in an actual conversation with a real person (not voicemail/gatekeeper).
  • Avg minutes per dial: blended average across connects and non-connects — include CRM logging time.

Worked example

Assumptions:

  • Quarterly pipeline target: $600,000
  • Average deal size: $30,000 → 20 opportunities needed
  • Meeting-to-opportunity rate: 40% → 50 meetings needed
  • Meeting-set rate: 20% → 250 conversations needed
  • Connect rate: 15% → 1,667 dials needed
  • Avg minutes/dial: 4 minutes → 6,668 minutes ≈ 111 hours
  • Working days in the quarter: 60≈ 1.85 hours/day of active dialing

(This is dial time only — add discovery-question prep, list-building, and CRM admin on top; most reps should plan for roughly 1.5× the raw dial-time figure as their total daily prospecting block.)

If you don't know your own rates yet

Use these conservative placeholders until you have 4 weeks of your own logged data, then replace them:

RateConservative placeholder
Connect rate10%
Meeting-set rate15%

Recalculate monthly — rates shift with seasonality, list quality, and rep tenure.

How to use it

Plug your own pipeline target, deal size, and historical connect/conversion rates into the formula chain (or the spreadsheet formula row) to get an exact daily prospecting-hour number, then block that time on your calendar using the weekly template.
