Pre-Boarding Email Sequence Templates
Five ready-to-send emails covering the gap between a signed offer and day one, so new hires arrive already oriented, connected to their team, and clear on what to expect — instead of walking in cold.
What's inside
- Email 1 — Welcome & Excitement (send same day offer is signed)
- Email 2 — Paperwork & Logistics (send 10–14 days before start)
- Email 3 — Meet Your Team (send 5–7 days before start)
- Email 4 — What to Expect Week One (send 2–3 days before start)
- Email 5 — See You Tomorrow (send the evening before start)
- Manager send-checklist mapping each email to exact timing and sender
- Fill-in fields for buddy assignment, team intros, and day-one logistics
Why this sequence exists
The gap between "offer signed" and "day one" is where new hires quietly cool off, get poached by counter-offers, or just show up nervous and disoriented. Five short, well-timed emails close that gap. Send exactly these five, at exactly these intervals — copy-paste and fill the brackets.
Email 1 — Welcome & Excitement
Send: Same day the offer is signed From: Hiring manager Subject: Welcome to the team, [First Name]!
Hi [First Name],
I just saw the offer come back signed and wanted to be the first to say it properly: welcome to [Company Name]. I'm genuinely glad you're joining us.
A few things before we dive into logistics (you'll get those from [HR/People Ops contact] separately):
- Your start date is [Start Date], and you'll be working out of [Location / Remote setup].
- You'll be joining the [Team Name] team, reporting to me.
- Over the next [X weeks], you'll hear from us a handful of times — nothing to action, just context so day one feels familiar instead of overwhelming.
If anything comes up between now and then — a question, a nerve, a "wait, what do I wear" — just reply to this email directly. I mean that.
Looking forward to it, [Manager Name] [Title] · [Company Name]
Email 2 — Paperwork & Logistics
Send: 10–14 days before start date From: HR / People Ops Subject: A few things to sort before [Start Date]
Hi [First Name],
Excited for you to join us on [Start Date]! A short, practical email:
Before you start, please:
- Complete [background check / right-to-work / tax forms] via [link]
- Return signed [contract / NDA / benefits enrollment] by [date]
- Set up direct deposit: [link/instructions]
- Let us know any equipment preferences (laptop OS, monitor, etc.)
Logistics for day one:
- Where: [Office address / remote login instructions]
- When: Arrive by [time]. First session starts at [time].
- Who to ask for: [Reception contact / IT contact]
- Parking / transit note: [detail]
- Dress: [guidance]
Your equipment will ship / be waiting for you by [date]. If anything above is unclear or you hit a snag, reply here or call [phone number] — a real person will pick up.
Talk soon, [HR Contact Name]
Email 3 — Meet Your Team
Send: 5–7 days before start date From: Hiring manager Subject: Meet the people you'll be working with
Hi [First Name],
One week to go. Wanted to put some names to faces before you arrive, since walking into a room of strangers on day one is the worst part of any new job.
Your manager: Me — [Manager Name]. [One line on background/style.]
Your onboarding buddy: [Buddy Name], [Role]. They've been at [Company] for [X time] and will be your go-to for the "dumb questions" (there are no dumb questions) during your first month. They'll reach out separately to introduce themselves before you start.
Your immediate team:
- [Name] — [Role] — [one line: what they do / fun fact]
- [Name] — [Role] — [one line]
- [Name] — [Role] — [one line]
Who you'll meet in week one beyond the team: [Skip-level manager], [key cross-functional partner], [enablement/L&D contact].
We'll do proper introductions in person, but figured a name and a face beforehand takes the edge off.
[Manager Name]
Email 4 — What to Expect Week One
Send: 2–3 days before start date From: Hiring manager or enablement lead Subject: Your first week, mapped out
Hi [First Name],
Here's the actual shape of your first week, so there's no mystery Monday morning.
Day 1: Orientation, equipment setup, team welcome [lunch/coffee], intro to [CRM/core tools]. Day 2–3: Product/domain fundamentals with [trainer/enablement contact]. Shadow [X] live calls with [rep name(s)]. Day 4–5: [Role-specific ramp activity — e.g., first practice calls, first accounts assigned, certification quiz].
What we do NOT expect from you in week one: results, quota progress, or having it figured out. Week one is about orientation and absorption — that's the whole job.
One thing to bring: questions. Write down anything that confuses you; we'll cover it in your first 1:1 on [date].
See you Monday, [Manager Name]
Email 5 — See You Tomorrow
Send: Evening before start date From: Hiring manager Subject: See you tomorrow
Hi [First Name],
Quick one — tomorrow's the day.
- Arrive: [time] at [location] / Log in: [time] via [link]
- Ask for: [contact name] at the door / on the call
- Bring: [ID for badge / laptop charger / nothing, we've got you]
[Buddy Name] will meet you first thing. I'll see you at [specific time/event, e.g., "10am team standup"].
Genuinely glad you're starting tomorrow. Sleep well.
