The test for every line on this page: would it still make sense if a VP with zero context opened it cold, with no rep in the room to explain it? If it needs narration, cut it or rewrite it.

Format Rules

  • One page. Not one page plus an appendix. One page.
  • No sentence over 20 words.
  • No internal product jargon or feature codenames — describe outcomes, not module names.
  • Every number must be one this specific prospect confirmed, not an industry-average stat.

Section 1 — Header

[Their Company Name]: [One-line statement of the business outcome in their language]

Fill-in prompt: use the exact words the prospect used in discovery to describe the goal — not your product's category name.

Example: "Cutting proposal turnaround from 4 days to same-day for the East Region team."

Section 2 — Where Things Stand Today

2–3 bullets, in their words, describing the current state and its cost.

Fill-in prompt:

  • Current process: _______________________
  • Cost of that process (time/dollars/deals), as they stated it: _______________________
  • Why it's getting worse, not staying flat: _______________________
Example: - Proposals currently route through 3 approvers manually via email, averaging 4 business days. - Team estimates this delays roughly 15% of deals past the buyer's decision window each quarter. - As the team grows to 40 reps next year, this bottleneck compounds rather than staying fixed.

Section 3 — What We Showed, Mapped to What They Asked For

They said they needed...We showed...

Fill-in prompt: pull directly from discovery notes for the left column — never write the right column first and reverse-engineer a need to match it.

Section 4 — The Quantified Impact

One box, one number, one source.

[X hours / $Y / Z% reduction] — based on [their stated baseline], applied to [their team size/volume].

Fill-in prompt: show your math in one line underneath so it's checkable, not a marketing claim:

"4 days → same-day, across ~120 proposals/quarter = ~13 team-days recovered per quarter."

Section 5 — Proof Point

One sentence, one named comparable, one concrete result — no logo-wall, no "trusted by" banner.

"[Peer company], a similar-sized team in [their industry], went from [before state] to [after state] within [timeframe]."

Fill-in prompt: use a real comparable close to their size/industry if you have one with permission to reference; if you don't, cut this section entirely rather than using a generic or unnamed claim.

Section 6 — Next Step

One sentence. One date. One named owner on each side if possible.

"Next step: [specific action] with [name] by [date]."

Fill-in prompt: pull the next step straight from your "why change now" worksheet — it should already be the smallest viable next step, not a generic "let's reconnect."


The Cut List — Remove These Every Time

  • Full feature list or product tour recap (that's what the recording/demo was for)
  • Generic industry statistics not tied to this account
  • "About us" company boilerplate
  • Pricing (unless explicitly requested — this is a leave-behind, not a quote)
  • Anything requiring the rep to be present to explain

Worked Example (filled in)

Acme Manufacturing: Cutting proposal turnaround from 4 days to same-day for the East Region team.

Where things stand today:

  • Proposals route through 3 manual approvers via email, averaging 4 business days.
  • Team estimates this delays ~15% of deals past the buyer's decision window each quarter.
  • Growing to 40 reps next year makes this worse, not stable.
