Outbound Prospecting KPI Benchmark Guide

Industry-standard connect rates, meeting-set rates, and cost-per-meeting figures broken out by channel and company segment, with the formulas to calculate your own numbers and a diagnostic table for when you fall short.

What's inside

  • Connect-rate benchmarks by channel (call, email, LinkedIn, video)
  • Meeting-set-rate benchmarks by segment (SMB/Mid-market/Enterprise)
  • Show-rate and opportunity-conversion benchmarks
  • Cost-per-meeting calculation and benchmark ranges by segment
  • Formulas to calculate your own numbers from raw activity data
  • Guidance on using benchmarks to set realistic team targets
  • Diagnostic table: below-benchmark symptom to likely root cause
  • Recommended benchmark review cadence

Use these as starting reference ranges, not absolutes — recalibrate against your own first full quarter of data as soon as you have it.

Connect rate by channel

ChannelTypical rangeNotes
Cold call8–15%Lower for enterprise (gatekeepers), higher for SMB direct-dial
Cold email (reply rate)15–25% open, 1–3% replyReply rate is the meaningful number, not open rate
LinkedIn message (1st-degree/connection accepted)20–35% responseHighest engagement per touch, lowest volume ceiling
Video message25–40% view rate, 8–15% replyStrong for standing out, expensive in rep time

Meeting-set rate by segment (meetings booked ÷ conversations)

SegmentTypical range
SMB (<100 employees)20–30%
Mid-market (100–1,000 employees)12–20%
Enterprise (1,000+ employees)6–12%

Enterprise numbers are lower because multi-thread, multi-touch cycles are the norm — a single conversation converting to a meeting is the exception, not the rule (see the Account-Based Prospecting Playbook).

Show rate & opportunity conversion

MetricTypical range
Show rate (meetings held ÷ booked)70–85%
Opportunity conversion (opps created ÷ meetings held)30–50%

Cost per meeting

Formula: (Fully-loaded SDR cost per month ÷ meetings booked per month) = cost per meeting

SegmentTypical cost-per-meeting range
SMB$50–$150
Mid-market$150–$400
Enterprise$400–$1,200+

Enterprise cost-per-meeting is higher because of the multi-touch, multi-thread effort per account — evaluate against average deal size, not against SMB cost-per-meeting.

Calculate your own numbers

MetricFormula
Connect rateConnects ÷ Dials
Meeting-set rateMeetings Booked ÷ Conversations
Show rateMeetings Held ÷ Meetings Booked
Opportunity conversionOpportunities Created ÷ Meetings Held
Cost per meetingFully-loaded rep cost (monthly) ÷ Meetings Booked (monthly)

(Pair this with the Outbound Metrics Dashboard Template to calculate these automatically every week.)

Setting realistic targets

  1. Segment your targets by SMB/Mid-market/Enterprise — a single blended target across segments will always look wrong for someone.
  2. Set targets at the midpoint of the range in year one; move to the top of the range only after a full quarter of clean baseline data.
  3. Never set a target on Show Rate or Opportunity Conversion alone without also tracking Meetings Booked volume — a rep can inflate one metric by starving the other.

Diagnostic table — below benchmark, likely cause

SymptomMost likely root causeWhere to look
Connect rate below rangeBad list/data quality, or dialing wrong hoursData source audit; time-of-day analysis
Meeting-set rate below range, connect rate fineWeak discovery/ask — conversations happening, not convertingCall review against Cold Call Certification Scorecard categories 4–7
Show rate below rangePoor meeting confirmation process, meetings booked too far outAdd confirmation touch 24h before; tighten booking-to-meeting gap
Opportunity conversion below rangeMeetings are happening but with wrong persona / no real painBuying Committee Map — check role fit before booking
Cost per meeting rising quarter over quarterRep tenure/ramp issue, or account list quality degradingSegment cost-per-meeting by rep tenure and by account tier

Review cadence

Recalibrate these benchmarks against your own data once per quarter minimum. Ranges above assume a mature outbound motion with clean CRM data — a brand-new SDR function should expect the bottom of every range for its first two quarters.

How to use it

Compare your team's actual connect, meeting-set, and cost-per-meeting numbers against the segment-matched ranges, then use the diagnostic table to pinpoint the root cause behind any metric that's falling short.
