Outbound Cold Calling KPI Dashboard Template
A ready-to-build dashboard structure: tabs, fields, and formulas: tracking dials, connect rate, talk time, and meetings booked per rep and per team, with a quality overlay so volume is never measured in isolation from call quality.
How to use it
Build the 4 tabs against your dialer and CRM data exports, set the conditional-formatting thresholds using your own first 4–6 weeks of data as the baseline, and review the Quality Overlay tab monthly so coaching decisions are never made off volume metrics alone.
What's inside
- 4 tabs: Rep Scorecard, Team Trends, Ramp/Cohort View, Quality Overlay
- Full column list for the per-rep daily/weekly scorecard
- 5 explicit formulas including the Quality-Adjusted Meeting Rate
- Directional reference ranges for connect rate, meeting rate, and show rate (with a recalibration caveat)
- Conditional formatting thresholds (red/amber/green) for each core metric
- Review cadence per tab tied back into the coaching and ramp templates
A field-and-formula spec you can build directly in Google Sheets, Excel, or a BI tool (Looker/Tableau/Power BI) against your dialer and CRM exports. Not tied to one platform.
Tab 1: Rep Scorecard (one row per rep, daily or weekly)
| Column | Definition |
|---|---|
| Rep Name | |
| Dials | Total outbound attempts |
| Connects | Live conversations ≥ your minimum threshold (e.g., 20 seconds) |
| Connect Rate | Connects ÷ Dials |
| Conversations | Connects that passed a qualifying question, if tracked separately |
| Avg Talk Time | mm:ss average per connect |
| Meetings Booked | Real, calendar-confirmed meetings |
| Dials per Meeting Booked | Dials ÷ Meetings Booked |
| Meetings Held (Showed) | Meetings where the prospect actually attended |
| Show Rate | Meetings Held ÷ Meetings Booked |
| Avg Quality Score | Average of most recent 5 scorecard-reviewed calls |
| Quota Attainment % | If applicable |
Tab 2: Team Trends (weekly/monthly time series)
- Total Dials, Total Connects, Team Connect Rate over time (line chart)
- Total Meetings Booked vs. Meetings Held over time
- Team Avg Quality Score over time, overlaid against volume, the point is to show quality isn't trading off against volume
- New-hire ramp cohort curve vs. tenured average
Tab 3: Ramp / Cohort View
- Group reps by start-month cohort
- Track Day 30 / 60 / 90 gate metrics (from the New SDR Ramp Plan) side by side across cohorts, to see whether ramp is getting faster or slower over time
Tab 4, Quality Overlay
- Scatter plot: Dials (x-axis) vs. Avg Quality Score (y-axis), one point per rep
- Flags "high volume, low quality" and "low volume, high quality" reps: they need different coaching, not the same coaching
Formulas
`` Connect Rate = Connects ÷ Dials Meeting Booked Rate = Meetings Booked ÷ Connects Show Rate = Meetings Held ÷ Meetings Booked Dials per Meeting Held = Dials ÷ Meetings Held Quality-Adjusted Meeting Rate = (Meetings Booked × Avg Quality Score ÷ 100) ÷ Connects ``
The last one is the single number that stops a rep from gaming volume without quality, a rep who books meetings off low-quality calls scores worse on this than one who books fewer meetings off strong calls.
Directional reference ranges
(Directional only, recalibrate to your own list quality and ICP after 4–6 weeks of your own data. Do not treat these as a universal benchmark.)
| Metric | Rough range |
|---|---|
| Connect Rate | Commonly 5–15% on cold outbound; below that, investigate list/data quality before blaming reps |
| Meeting Booked Rate (of connects) | Wide range, commonly cited around 10–25% for a well-qualified list: use your own trailing baseline as the real target |
| Show Rate | Aim to keep above 70%; below that, the issue is usually confirmation/reminder process, not the call itself |
Conditional formatting thresholds
| Metric | Red | Amber | Green |
|---|---|---|---|
| Connect Rate | <5% | 5–9% | 10%+ |
| Show Rate | <60% | 60–75% | 75%+ |
| Avg Quality Score | <60 | 60–74 | 75+ |
(Recalibrate these bands after establishing your own baseline: they're starting points, not fixed law.)
Review cadence
| Tab | Reviewed by | Frequency |
