Demo No-Show Recovery Script
A staged call-and-email sequence for re-booking a demo no-show that assumes good faith and creates urgency without guilt-tripping or sounding needy.

A no-show isn't a lost deal — it's a scheduling problem. This sequence re-books without guilt-tripping, over-apologizing, or sounding needy.
T+0 Minutes — Immediate Email (assume good faith)
Subject: Did I get the time wrong?

Just hopped into the call — might be a mix-up on my end, or something came up on yours. Either way, no worries.
Want to grab another time? Here's my calendar: [link] — or just reply with whatever works.

T+0 — Voicemail Script (if you call and it goes to voicemail)
`` "Hi [Name], it's [Rep] from [Company] — just called in for our [time] demo, figured I'd try you directly in case the invite didn't land right. No stress at all, I'll send an email now with a couple of times to grab whenever's easier. Talk soon." ``
T+2 Hours — Text/SMS (only if you have a number and prior texting rapport)
`` Hi [Name], [Rep] here — think we missed each other for the demo earlier, all good. Sent an email with a couple times, whenever works. ``
Day 1 — Second Email (add value, don't just ask again)
Subject: In case timing's the issue
``` Hi [Name],
In case it's easier than finding a new slot right now — here's a 3-minute recorded version of what I would have shown you, specific to [their stated pain]: [video link]
If it's useful, happy to do the live version whenever you've got 20 minutes: [calendar link]

Day 3 — Breakup-Style Email (creates urgency without guilt)
Subject: Should I close this out?
``` Hi [Name],
Haven't heard back, so wanted to check — is this still something you're looking at, or has priority shifted? Totally fine either way, just don't want to keep following up if the timing's off.
If it's still live, here's my calendar for a quick reset: [link] If not, no action needed — I'll close this out on my end.

Day 5–7 — LinkedIn Touch (only if email goes fully unanswered)
`` "Hey [Name] — tried to catch you for a quick demo on [Product] last week, totally understand if the timing wasn't right. If it's useful down the line, happy to reconnect whenever — no rush at all." ``
If They Respond and Want to Reschedule — Live Call Script
``` Rep: "No problem at all — these things happen. Before we grab a new time, quick check: is [original stated pain] still the priority, or has anything shifted since we last talked?"
[Listen — recalibrate the demo theme if priorities changed]
Rep: "Good — let's get something on the calendar that actually sticks this time. Does [specific day/time] work, and is there anyone else who should be on it given what we're covering?" ```
Rule: Never open a reschedule conversation with "you missed our call" or any variant that implies blame — it's the fastest way to make a busy prospect defensive instead of re-engaged.
How to use it
Work through the sequence in order after a no-show, sending each touch only if the previous one goes unanswered, and stop immediately and switch to the rebooking script the moment they respond.
