Deal Desk Escalation Checklist

Tells reps exactly when a non-standard deal must go to deal desk, what to bring, and how long each approval type takes, so it never becomes a Friday-night, quarter-end fire drill.

When you MUST escalate to deal desk (any one trigger = escalate)

  • Discount requested is above your standard approval authority (see Approval Matrix below)
  • Non-standard payment terms (anything other than your default, e.g. net-30 upfront)
  • Multi-year deal with year-1-only pricing or back-loaded payment schedule
  • Custom contract language / redlines to the standard MSA
  • Non-standard product bundling, custom SKU, or a feature not in the current price book
  • Co-terming or contract consolidation across multiple existing agreements
  • Any request involving a most-favored-nation, exclusivity, or non-compete clause
  • Partner/reseller margin or revenue-share request outside the standard program
  • Any deal the customer wants "grandfathered" pricing on renewal
  • Legal has flagged indemnification, liability cap, or data-processing terms as non-standard

If none of the above apply, you don't need deal desk — approve within your own authority and move on.

Required Submission Package (attach ALL before submitting)

  • Opportunity link (CRM record, current stage, forecast category)
  • One-paragraph deal summary: what's being asked for and why
  • Standard price book value vs. requested value (side-by-side)
  • Business justification (competitive pressure, strategic logo, multi-year commitment, etc. — be specific, "they asked" is not a justification)
  • Stakeholder map or confirmation that Economic Buyer is engaged
  • Close date and why that date is real (compelling event, if any)
  • Manager's initial sign-off/comment

Timing Rule

Submit at least 5 business days before you need signature for anything requiring Deal Desk + Legal, and at least 2 business days for Manager-only approvals. Quarter-end does not compress these SLAs — deal desk volume triples in the last week of the quarter, and late submissions queue behind everyone else's late submissions.

Pre-Submission Self-Check (complete before hitting submit)

  • I have confirmed this discount/term is actually necessary to close (not a pre-emptive ask)
  • I have the Economic Buyer's confirmation that this is the blocking issue, not a guess
  • I've checked whether a non-price lever (extra training, professional services, different term length) could solve this instead of pure discount
  • My manager has reviewed and signed off before I submit
  • I am not submitting this for the first time during the final week of the quarter

Common Rejection Reasons (avoid these)

  • Business justification is "competitor is cheaper" with no named competitor or evidence
  • No Economic Buyer confirmation that price is the actual blocker
  • Deal desk package submitted with missing price book comparison
  • Ask exceeds authority for the submitter's role/tier without the correct approver chain attached
  • Submission arrives with less than 48 hours before the needed signature date

If Deal Desk Misses Its Own SLA

  1. Message your manager directly (don't just wait) with the opportunity link and original submission timestamp.
  2. Manager escalates to Deal Desk lead by name, not the shared queue.
  3. If still unresolved 24 hours past SLA, VP Sales is looped in directly.

After Approval

  • Update CRM with the approved terms (not the originally requested terms) before generating the contract
  • Confirm the approved deal still matches what's stated in the forecast category — a discount approval that arrives after a Commit call may require a category re-check

How to use it

Check the escalation triggers before every non-standard ask, assemble the full submission package up front, and submit by the "submit-by date" the SLA table gives you, never the week you need signature.
